2. Scope of this policy

This privacy notice describes how Preferoo Oy ("we") processes personal data on our website preferoo.com and related services. Our website is built on the Squarespace platform, and we use cookies as well as the following third-party services on the site: Google Analytics, Leadfeeder, HubSpot, Meta (Facebook/Instagram), and LinkedIn.

3. Purposes of processing and services used

We process personal data for the following purposes:

3.1 Website operation and hosting (Squarespace)
 Squarespace serves as the platform and hosting provider for our website. Squarespace processes data that is technically necessary for the site's operation (e.g. IP address, server logs) and may set functional cookies to enable the website's basic functions.

3.2 Website analytics (Google Analytics)
 We use Google Analytics to understand how visitors use our site (e.g. number of page loads, pages visited, visit duration, device and browser information). Data is collected using cookies and similar technologies.

3.3 Company-level visitor identification (Leadfeeder)
 Leadfeeder identifies, based on IP addresses, which organizations have visited our site, and links this information to website behavior (pages viewed, duration of visit). In certain cases, particularly for small organizations, this may make it possible to identify an individual person, in which case this constitutes processing of personal data.

3.4 Contacts, meetings, and customer relationship management (HubSpot)
 When you fill out a contact form, subscribe to a newsletter, or otherwise get in touch with us, your data is stored in our HubSpot system. Through HubSpot we process, among other things: name, email address, phone number, company, job title, and the content of your message. HubSpot is also used to send and track marketing communications (e.g. newsletters).

3.5 Marketing and targeting on social media (Meta and LinkedIn)
 We use the Meta Pixel (Facebook/Instagram) and LinkedIn Insight Tag on our website. These tools collect information about your website visits and enable ad targeting and measurement on the Meta and LinkedIn platforms. With regard to these tools, we are joint controllers together with the respective platforms.

4. Categories of collected data

Through our website and the services mentioned above, we process, among other things, the following data:

  • Data collected via cookies and tracking technologies: IP address, device and browser information, on-site behavior, referring website

  • Data provided via forms: name, email, phone number, company, job title, message content

  • Company data identified by Leadfeeder: company name, location, industry, visit history on the site

  • Lead and customer data stored in HubSpot: contact details, communication history, possible lead scoring and segmentation

  • Data collected through Meta and LinkedIn advertising: website visits, conversions, targeting-related identifiers

5. Legal bases for processing

  • Consent: for non-essential cookies: Google Analytics, Leadfeeder, Meta Pixel, LinkedIn Insight Tag, and HubSpot marketing cookies. Use of these requires prior consent in accordance with the Act on Electronic Communications Services.

  • Contract / preparation of a contract: when you contact us regarding a quote request or similar

  • Legitimate interest: e.g. certain B2B contact-handling activities and direct marketing to existing customers, subject to a balancing of interests assessment

  • Direct marketing (e.g. marketing emails sent via HubSpot to new contacts) generally requires separate consent, unless there is an existing customer relationship and an applicable B2B exception applies.

6. Cookies

Our website uses cookies and similar technologies, divided into the following categories:

7. Data processors and recipients

We use the following third-party services to process personal data.

Leadfeeder: Company-level visitor identification, Identifying companies based on IP address

HubSpot: CRM / marketing, Management of leads and contacts, marketing communications

Meta (Facebook/Instagram): Advertising / targeting, Ad measurement and targeting via Meta Pixel

LinkedIn: Advertising / targeting, Ad measurement and targeting via Insight Tag

8. Data transfers outside the EU/EEA

Some of the service providers we use (including Google, HubSpot, Meta, and LinkedIn) are US-based companies or process data outside the EU/EEA. In such cases, the data transfer is based on appropriate safeguards, such as the EU-U.S. Data Privacy Framework and/or the European Commission's approved Standard Contractual Clauses (SCCs). 9. Retention periods

We retain personal data only for as long as necessary to fulfill the purposes described in this notice or to comply with statutory obligations.

10. Data subject rights

You have the right to:

  • verify what data has been stored about you

  • request correction of inaccurate data

  • request erasure of data ("right to be forgotten")

  • restrict processing

  • transfer data from one system to another (data portability)

  • object to processing, in particular direct marketing

  • withdraw your consent at any time

  • lodge a complaint with a supervisory authority (in Finland, the Office of the Data Protection Ombudsman, tietosuoja.fi)
